Same job, two ways: flagging renewals at risk of churn

In a Claude Cowork scheduled task (one person's prompt)

  • A CSM sets up a scheduled prompt: “Every Monday, check my accounts for renewals coming up and flag any that look at risk.” Results show in their personal Claude chat history.
  • Other CSMs copy and paste the prompt, and add their own ideas to detect churn risk.
  • RevOps builds an automation in Zapier that no one sees or understands how it scores.
OUTCOME: each person gets back whatever effort they put in. Copies multiply and diverge, and the team never gets the combined result.

In a Songbird loop (the team's process)

  1. Trigger 60 days before renewal in HubSpot.
  2. Collect data from HubSpot, SurveyMonkey, Metabase and Jira…
  3. For the CRM, look for neutral sentiment in recent activity…
  4. For NPS, dig into the free-form responses, not just the score…
  5. Post to #renewals in Slack, tagging the CSM for review, with a full briefing of the risks and the evidence.
OUTCOME: the whole team gets the same thorough churn review on every account. They can read the instructions that produced the report and suggest improvements to RevOps.
